Semantic search versus filters: combine retrieval with business constraints

Similarity can help users describe a document in their own words. It does not determine whether the document is authorized or currently applicable.

Define hard constraints

Keep tenant, status and access rules explicit. Decide which constraints apply before retrieval. Business owners establish validity rules.

Compare approaches

Use actual user questions and inspect returned items. Existing keyword or field-based search may solve part of the task. Evaluate the combination on the same cases.

Accept explainable results

Display useful references and relevant metadata. Ask the partner how filters are enforced and tested. A high similarity score is not a measure of factual correctness or access permission. The first engagement should demonstrate retrieval under your business constraints, including questions with no eligible result.
